SHAI for Dentists
Recalls and unscheduled treatment are revenue sitting in the chart.
How this business runs
Recalls and unscheduled treatment are revenue already sitting in the chart. The practice does not need more new patients nearly as much as it needs the ones it has to come back on time.
The recommended team
8 agents from the roster, in the order this trade needs them.

The tasks that will run
Bring back the overdue recalls
every weekday at 7amRecall is revenue already in the chart, and it lapses quietly.
/ghl-pipeline · runs the agent · delivered to dashboard
Confirm tomorrow's appointments
every weekday at 4pmA confirmed appointment turns up; the hygiene column is where no-shows hurt most.
/ghl-pipeline · runs the agent · delivered to dashboard
Follow up a new-patient enquiry the same day
every three hours on weekdays between 8am and 5pmA new-patient enquiry is comparing two practices this afternoon.
/ghl-pipeline · checks a condition first and only starts a run if it trips · delivered to dashboard
Report cost per new patient
every Monday at 8amCost per click is not cost per patient, and the two diverge badly here.
/ads-metrics · runs the agent · delivered to dashboard
Every one of these arrives as a proposal you approve or decline. Nothing is scheduled by signing up.
The tools to connect
Go High Level (GHL)
GoHighLevel is where the leads, the pipeline, the calendar and the conversations live. Almost every task below reads or writes it.
Google Calendar
Google Calendar is what SHAI writes to when the booking does not live in the CRM.
Google Ads API (paid ads)
Google Ads is where demand that is already searching gets bought.
Each one is your own account, connected once. Every tool carries its price and the exact steps.
The first week
- Connect the practice CRM and let SHAI list the overdue recalls and the unscheduled treatment.
- Turn on confirmations first - it pays for itself in a fortnight.
- Ask for cost per new patient by source; most practices have never seen it.
What to read on a Monday
- Recall compliance rate — The share of patients who come back on schedule - the most valuable number in the practice.
- Unscheduled treatment value — Diagnosed work nobody booked; it is usually a large number.
- Hygiene column utilisation — The engine of a general practice.
- New-patient cost by source — So the marketing spend is a decision rather than a habit.
What SHAI will not do in this trade
- No patient records, ever. SHAI handles scheduling and marketing metadata only - no chart notes, no diagnoses, no treatment history, no patient photos, in any task, prompt or file it writes. A task that would need clinical detail is declined, not narrowed.
- Anything that texts or calls a customer runs on a registered A2P 10DLC brand and campaign with the consent record on file. /ghl-a2p sets that up; SHAI will not send a customer message before it exists.
- TCPA: no call or text to anyone who has not opted in, nothing outside 8am-9pm in the recipient's own time zone, and an opt-out honoured on the first message it arrives in.
- Every message SHAI sends to someone who is not the owner says it is an AI assistant acting for the business (master prompt 4.7). It is never presented as a person.
- SHAI never writes a review, never offers anything in exchange for one, and never posts as a customer. It drafts replies to reviews that already exist, for the owner to send.
- Appointment reminders carry a name and a time and nothing clinical - no procedure, no diagnosis, no chart detail, in any channel.
- State dental board advertising rules govern claims, specialist titles and before-and-after imagery. A licensed dentist signs off every claim, and /legal-counsel's disclaimer stays on the draft.
Every line in this file is a recommendation written from an operator's knowledge of how this trade actually runs, never a promise about a result. Cadences are starting points; the owner changes them. Compliance notes are a reminder to check, not legal advice. Written 2026-09-15.
A playbook is a head start, not a requirement: SHAI works for any business, and a trade that is not on this list gets the same agents and a general plan built the same way.
