SHAI for Marketing agencies

Client reporting eats the hours that should go to landing the agency's own next client.

How this business runs

The agency's own pipeline gets whatever time client work leaves over, which in a good month is none. Reporting to clients and prospecting for the next one draw on the same few hours, and reporting always wins because a client is already paying.

The recommended team

8 agents from the roster, in the order this trade needs them.

The tasks that will run

Chase the proposals nobody answered

every weekday at 7am

A proposal that is never followed up is a client somebody else signed.

/ghl-pipeline · runs the agent · delivered to dashboard

Answer a new discovery request inside the hour

every hour between 8am and 6pm on weekdays

An agency that answers slower than the one it is pitched against loses the comparison before the call.

/ghl-pipeline · checks a condition first and only starts a run if it trips · delivered to dashboard

Post this week's case study or result

every Monday at 8am

An agency that does not show its own work is asking to be trusted on faith alone.

/organic-content-creator · runs the agent · delivered to dashboard

Report the agency's own cost per qualified call

every Monday at 8am

An agency that cannot show its own numbers has a hard time selling anyone else's.

/ads-metrics · runs the agent · delivered to dashboard

Look at next quarter's account load against capacity

on the 1st of each month at 9am

Signing past capacity is how service quality quietly slips on every account at once.

/forecasting · runs the agent · delivered to dashboard

Every one of these arrives as a proposal you approve or decline. Nothing is scheduled by signing up.

The tools to connect

Go High Level (GHL)

GoHighLevel is where the agency's own leads, pipeline and calendar live. Almost every task below reads or writes it.

Meta Graph API (Instagram professional accounts + Facebook Pages)

Meta is where the agency's own audience and case-study content run.

Google Ads API (paid ads)

Google Ads is where the agency buys its own demand from businesses already searching for one.

Each one is your own account, connected once. Every tool carries its price and the exact steps.

The first week

  1. Connect the CRM and let SHAI list every proposal sent in the last 90 days with no follow-up.
  2. Turn on the fast-response check during business hours and watch what it catches.
  3. Ask for utilisation by account - it is usually the first time an agency sees it laid out plainly.

What to read on a Monday

  • Proposal-to-signed rateThe number that decides whether prospecting time was worth spending.
  • Client retention past month threeMost churn happens before the agency has proven anything, and it is visible early if anyone looks.
  • Utilisation by accountAn account eating more hours than it bills is a discount nobody agreed to.
  • Cost per qualified discovery callThe agency's own funnel, held to the same standard it sells to clients.

What SHAI will not do in this trade

  • Anything that texts or calls a prospect runs on a registered A2P 10DLC brand and campaign with the consent record on file. /ghl-a2p sets that up; SHAI will not send a prospect message before it exists.
  • TCPA: no call or text to anyone who has not opted in, nothing outside 8am-9pm in the recipient's own time zone, and an opt-out honoured on the first message it arrives in.
  • Every message SHAI sends to someone who is not the owner says it is an AI assistant acting for the business (master prompt 4.7). It is never presented as a person.
  • SHAI never writes a review, never offers anything in exchange for one, and never posts as a customer. It drafts replies to reviews that already exist, for the owner to send.
  • Case studies and results shown in marketing are the agency's own real client numbers, with the client's written permission on file - never a projected, typical or invented result.
  • Client data, creative and campaign figures stay inside that client's own workspace; nothing crosses into another client's folder or another client's proposal.

Every line in this file is a recommendation written from an operator's knowledge of how this trade actually runs, never a promise about a result. Cadences are starting points; the owner changes them. Compliance notes are a reminder to check, not legal advice. Written 2026-09-21.

A playbook is a head start, not a requirement: SHAI works for any business, and a trade that is not on this list gets the same agents and a general plan built the same way.
