SHAI for Videographers

The footage gets shot, and the edit, the delivery and the next booking all wait behind it.

How this business runs

The footage gets shot on schedule and everything after it - the edit, the delivery, the next booking - waits behind whichever job is loudest that week. A client who has not heard back on a delivery date books the next videographer who answers the phone, even after paying a deposit.

The recommended team

8 agents from the roster, in the order this trade needs them.

/new-edit/ingest-footage/build-cut/finish-edit/publish-edit/ghl-pipeline/ghl-calendar/organic-content-creator

The tasks that will run

Answer a new enquiry the same day

every hour between 9am and 7pm

A client comparing three videographers books whoever answers first, and a check costs nothing on a quiet day.

/ghl-pipeline · checks a condition first and only starts a run if it trips · delivered to dashboard

Update clients waiting on a delivery

every weekday at 8am

A client who has not heard a delivery date books the next videographer who answers the phone.

/ghl-pipeline · runs the agent · delivered to dashboard

Post this week's delivered work

every Monday at 8am

A reel is the shop window, and it goes stale the moment the calendar fills.

/organic-content-creator · runs the agent · delivered to dashboard

Ask delivered clients for a review and a referral

every Monday at 9am

A delivered project that never gets followed up is a referral that never gets asked for.

/ghl-pipeline · runs the agent · delivered to dashboard

Every one of these arrives as a proposal you approve or decline. Nothing is scheduled by signing up.

The tools to connect

Cutroom (standalone video editor, external product)

Cutroom is where the ingest, cut, finish and export pipeline actually runs on the client's own footage.

Go High Level (GHL)

GoHighLevel is where enquiries, bookings and delivery follow-up live.

Google Calendar

Google Calendar is what SHAI writes to when the shoot booking does not live in the CRM.

Each one is your own account, connected once. Every tool carries its price and the exact steps.

The first week

  1. Connect the CRM and let SHAI list every enquiry from the last 30 days with no reply.
  2. Give it the last three deliveries and let it draft the delivery-status updates for jobs still in progress.
  3. Ask for days from shoot to delivery over the last quarter - it usually surprises the owner.

What to read on a Monday

  • Days from shoot to deliveryThe number every client actually remembers about working with this business.
  • Inbound enquiry response timeA couple or a brand comparing three videographers books whoever answers first.
  • Rebooking and referral rateA delivered project that never gets followed up is a referral that never gets asked for.
  • Booked jobs by sourceSo marketing hours go where the actual bookings come from, not where it feels busiest.

What SHAI will not do in this trade

  • Anything that texts or calls a customer runs on a registered A2P 10DLC brand and campaign with the consent record on file. /ghl-a2p sets that up; SHAI will not send a customer message before it exists.
  • TCPA: no call or text to anyone who has not opted in, nothing outside 8am-9pm in the recipient's own time zone, and an opt-out honoured on the first message it arrives in.
  • Every message SHAI sends to someone who is not the owner says it is an AI assistant acting for the business (master prompt 4.7). It is never presented as a person.
  • SHAI never writes a review, never offers anything in exchange for one, and never posts as a customer. It drafts replies to reviews that already exist, for the owner to send.
  • Every person shown or heard in delivered or promotional footage has a release on file; a shoot with no release on a recognisable person is not published.
  • Music used in edits is licensed for the delivery platform it is published to; SHAI never adds a track without a licence on file.

Every line in this file is a recommendation written from an operator's knowledge of how this trade actually runs, never a promise about a result. Cadences are starting points; the owner changes them. Compliance notes are a reminder to check, not legal advice. Written 2026-09-21.

A playbook is a head start, not a requirement: SHAI works for any business, and a trade that is not on this list gets the same agents and a general plan built the same way.
